Terms & Conditions
Please read the following terms and conditions carefully, as they form an integral part of the Participant Agreement for the Hampta Pass Trek. By booking an event with us, you agree to abide by these terms and conditions.
1. Insurance
All international (Non-Indian) and domestic (Indian) participants must have valid and adequate travel insurance before the departure date.
2. Booking Process
To book a trek, you can contact us via email, phone, our website, or through an approved travel agent. The person making the booking must be at least 18 years old and legally authorized to do so. If booking on behalf of others, each participant must accept these terms separately. Additional non-transferable fees (e.g., permits, park entry) may apply for international participants.
Once a booking is confirmed, a confirmation invoice will be issued. Participants must verify the details and report any necessary corrections immediately. Travel documents and the itinerary will be shared upon full payment clearance.
Participants must disclose any medical or other conditions that might affect their experience or that of others. Information may be required by government authorities for security purposes.
2.1 Partial Payment Bookings
If a booking is made with a partial payment, the remaining balance must be paid at least 20 days before departure. Failure to complete payment at least 15 days before departure will result in automatic cancellation without cash refunds. A voucher refund may be requested as per the cancellation policy.
3. Prices, Refunds & Cancellations
Prices are regularly updated on our website. We reserve the right to modify prices, introduce or withdraw promotional offers without prior notice. Bookings made using a promotion remain unaffected by later changes.
3.1 Participant Cancellations
3.1.1 Cancellation Process: Cancellations must be made through the user dashboard on our website. Refunds are processed according to the following structure:
- 30+ days before departure: 5% deduction
- 15 to 30 days before departure: 50% deduction
- Less than 15 days before departure: No refund
Refunds are processed to the original payment source based on the net amount paid, excluding additional components like transport and rentals.
3.1.2 Replacement of Participants: If a replacement is made at least 5 days before departure, the new participant must submit a signed undertaking. Transport bookings are non-transferable and will be cancelled for the original participant.
3.1.3 Voucher Refund: Available for all bookings, including promotional offers. The voucher will be valid for 6 months and can be used for any trek but cannot be combined with promotions. Cancellation less than 5 days before departure will not be eligible for refunds.
3.2 Cancellations by Hampta Pass Trek
We reserve the right to cancel or modify any event due to unforeseen circumstances like weather, landslides, or force majeure. In such cases:
- A replacement trek of equal or similar value will be offered.
- If the participant chooses to cancel, a full refund will be issued as a voucher (valid for 6 months). In other cases, a cash refund option may also be available.
3.3 Cancellations After Departure
- If a trek is cancelled due to force majeure, no refund will be provided.
- If cancelled for any other reason, an alternative arrangement will be made, or a voucher refund will be issued (valid for 3 months).
3.4 Participant Dropout
No refund is applicable for participants who drop out mid-trek. Any additional costs for evacuation or retreat will be borne by the participant.
4. Emergency Evacuation
We ensure safe evacuation to the nearest roadhead in case of an emergency. However, all costs incurred for evacuation (porter fees, ambulance, hospitalization, etc.) will be covered by the participant.
5. Travel Documentation & Legal Compliance
Participants are responsible for obtaining their visas, passports, and permits. Hampta Pass Trek is not liable for any costs incurred due to failure to comply with travel regulations.
6. Local Laws & Conduct
Participants must respect local laws, customs, and religious sentiments. Any disruptive, illegal, or unsafe behavior may result in immediate termination from the trek without refunds.
7. Privacy Policy
Personal information is kept confidential except where necessary for safety or operational purposes. Photos and videos taken during the trek may be used for promotional content unless a participant explicitly opts out.
8. Leader Authority & Conduct
The trek leader has full authority over trek decisions. Participants must comply with safety instructions. Intoxication (alcohol, drugs, etc.) is strictly prohibited. Violation may lead to removal from the trek without refunds.
9. Accommodation & Special Requests
Accommodation is non-transferable and must be used only by registered participants. Property damage will be the participant’s responsibility.
Special requests (e.g., dietary needs, rooming preferences) should be made in advance. Porter/mule services for carrying backpacks are available at additional charges.
Bags exceeding 12 kg may incur additional charges. Offloading must be for the entire trek duration.
10. Participant Requirements
Participants must be physically fit and meet the eligibility criteria mentioned on the itinerary page. Trek leaders can deny participation if a participant is found unfit, with no refund obligation.
For treks involving travel, participants must adhere to road safety norms. Reckless behavior may lead to suspension from the trek.
Equipment issued by Hampta Pass Trek must be used responsibly. Any loss or damage will be charged to the participant.
11. Law & Jurisdiction
Any disputes arising from this agreement will be governed by Indian law, with exclusive jurisdiction in the courts of Himachal Pradesh.
